Schema of the retrospective

This tracking issue is used to collect async retro items from anyone who was involved in Cloud Native Sustainablity Week 2024.

KEEP DOING: sharing about the event, why it's important and the community value for both local meetups and TAG Env virtual meetup
MORE OF: social media stuff (better if we have a structured plan on what to share/when as a baseline)
START DOING: a cool thing would be events pre-sustainability week like virtual meeting on the topic, make media kit/resources for organizers available months prior the actual event
STOP DOING: not having organization and planning, multiple links for media stuff around slack
LESS OF: -
IDEAS: Aim officially for Sustainability month maybe?

  • cooperate with TAG ENV

MORE OF

  • promoting together in large event
  • promoting CFS/demos/LTs
  • checking live video (event issue: cannot seen screen, video lag)

START DOING

  • fix format of presentation for smooth flow (all PDF?)

STOP DOING

  • expecting prompt engagement from participants

LESS OF

  • food overestimation

IDEAS

  • add pre-event form to get real first name, last name, and company name
  • co-located with OSS japan or GSF event next year

KEEP DOING: bi-weekly meeting, cooperate with TAG ENV
MORE OF: better structure and organise the work leading up the global event and local events, more social media promotion - also, better planning
START DOING: more regular global events - for example - every 2 months would be awesome

IDEAS: same thought as Valeria, call it "Sustainability month", since a lot of events are more spread out

KEEP DOING: Awesome work, Support each other, Discussions
MORE OF: Better structure, more structured responsibilities & Tasks
START DOING: We can have more co-organisers, templates in one place, we should also integrate "green reviews" tech demos, have more workshops as I got feedback from few attendees that they would like to see how to actually integrate things in existing systems
STOP DOING:
LESS OF: how can we track better all the ongoing meetups?
IDEAS: We can have "sustainability month", community hours

KEEP DOING: regular meetings and communication, running it as a project under TAG ENV

MORE OF: promotion and raising awareness about the event; both globally and by local meetup organizers.

START DOING: maybe more of a structured approach to start some activities earlier like opening CFP for the global event; visualizing an overview of tasks with deadlines and distributing responsibility clearly across who can do what;

STOP DOING: N/A

LESS OF: not sure if it's a big issue per se but maybe looking into how we can guide local meetups to do environmentally conscious meetups, i.e. less physical merch, food leftovers (or how to handle leftovers), etc. Visualizing this and providing some guidance from our side can help make a positive impact.

IDEAS:

  • Regarding more event promotion. Maybe globally we can ask CNCF/GSF/Green Web Foundation to promote more. Maybe we can get out information about this initiative as part of some keynote at KubeCon + CloudNativeCon conferences? And regarding local promotion, maybe we can support/encourage local meetup organizers to collaborate with other local tech communities to cross-promote.
  • Include guidance on running more environmentally conscious meetups to an organizer guide for example.
  • Have 1-2-3 meetings prior to the event that are dedicated mainly for local meetup organizers to meet and share tips and tricks, experiences, concerns, etc.

KEEP DOING:

  • the event
  • sharing the organizational load on multiple leads (with one having the hat on, like Nancy this time)

MORE OF:

  • collaboration with others (events, foundations, universities, or in general sustainability initiatives)
  • more discussions about our goals of the event - we would like to focus this year on these three goals. (for example: we connect as many events as possible with a livestream (technical & organizational goal), we write a white paper together or smth).
  • thinking about and then communicate the benefits of getting into this space & participating
  • sharing the organizational load on multiple leads & some being in shadow roles (like in the k8s release team)

START DOING:

  • building bridges to technical groups within the CNCF. Enable Kubernetes sig-x to think about sustainability and sharing their view and story.

STOP DOING:

  • hosting meetings without content that cannot be done async. (In general this should not happen. There is a lot to coordinate.)

LESS OF: N/A
